Clients submit their work requests to contractors via the contractor’s unique QR code or work request link. Once clients scan the QR code or type in the link, they are taken to a form where they can describe their request in detail and even add photos. Contractors are then automatically notified that a work request has been made. Based on the availability of their field technicians and the type of skill and skill level required for the work, contractors either approve or reject the work request.
After approving a work request, contractors create a corresponding work order for it. In each work order, contractors include the details given by the client in the work request form, such as the nature and location of the work and when it has to be completed. Depending on the complexity of the work and its urgency, contractors tag the work order as high, medium, or low priority. This helps them organize, schedule, and assign work orders efficiently.
Contractors have to manage a large number of work orders with different due dates, schedules, locations, clients, and assigned field technicians. To oversee the completion of these various jobs, contractors use work order software in monitoring their status. With work order software, contractors immediately receive an update whenever a field technician completes a work order. Based on photos sent by the field technician of their work, contractors either assign it again for rework or finally close the work order.
When it comes to a day in the life of a contractor, efficient work order management, planning, and organization are key to success. To stay at the top of their game, contractors use an easy-to-access tool that helps them navigate the influx of work orders without sacrificing a minute of their day to paperwork.
With work order software downloaded as a mobile app on their iOS or Android devices, field technicians and contractors can instantly connect whenever an unexpected issue arises regarding a work order, such as the need for more tools or new instructions from the client.
Whether at a job site, in the office, on-the-go, or at home, contractors can see what’s happening in the field through photos sent by field technicians. Whenever contractors want to correct the work of a field technician, they can just annotate the photo to highlight what needs to be done.
Integrations with digital calendars also help contractors check if field technicians are available to do the work on the date and time specified by clients. This prevents contractors from double-booking field technicians, assigning work orders to busy field technicians, and approving work requests when no field technicians are available.
A contractor’s job doesn’t end when they close a work order and send an invoice to the client.
To successfully run a contracting business, contractors ensure that the number of work orders completed is right for the company’s size or number of field technicians and for the time period covered (such as weekly, monthly, quarterly, or yearly).
When taking a look at the data collected by their work order software, contractors check the percentage of completed work orders and compare it against past data to evaluate the business’s current performance.
With work order software, contractors can view work orders whenever they like. Contractors can even filter work orders by status, site, or assignee and sort them by priority, due date, date created, or date updated. With these features, organizing work orders is automated, leaving contractors more time to fulfill their other responsibilities.
